Minutes of the AGM held at the Glynde Club 24th June 2019.
1. The meeting opened at 8.10pm. Those present were:- Chase Newman, Roger Munn, Ric Bithell, Jan Bithell, Dave Todd, Huw Lincoln, Liz Lancaster 2. Apologises were received from:- Richard Todd, Jean Brackenridge 3. Minutes of previous AGM. The 2018 minutes were online on the Lewes forum and read by Ric Bithell. Proposed as a true record Chase Newman, seconded by Dave Todd, unanimously agreed. 4. Matters arising. Signatories – Currently there are four signatories Richard Todd, Ric Bithell, Colin Southouse and Roger Munn. Richard has been asked to complete a form which would remove his name as a signatory - to date this form has not been returned. This was not perceived as an issue although it was mooted this matter should be bought to a conclusion. 5. Chairman’s report by Chase Newman. Last season ran well and the League Cup was enjoyed by most. Thanks to Roger for sponsoring the League Cup trophies 6. Treasurer’s report by Roger Munn. The accounts `broke even’ mainly due to the raffle for finals night. The £5.00 overpayment made last year to the Sussex County affiliation is now resolved (£5.00 less paid this year). Those present considered the £50.00 spent on sandwiches for finals night were not good value for money when compared to the Mid Sussex finals night – it was acknowledged the venue is provided at no charge, the time taken to make the sandwiches and due to the numbers of attendees declining over the years the opportunity for the publican to increase his takings on the night will have diminished. If a League Cup is required this year additional money will need to be secured. Roger suggested that the registration fee should be increased to finance this Cup – it was noted the price of trophies had decreased this year. Following a discussion which included the need for runner up trophies or whether medals would suffice a matter that was to be included in AOB was introduced into the debate. Jean Brackenridge (via Ric) suggested football cards be sold – it is thought this could potentially bring in an additional £300.00 for the League - the home team would sell the cards with £5.00 going to the winner and £5.00 to the League. It was therefore agreed:- • The football cards would be sold for a year • There would be no increase in the registration fee • There would be no pre-sale of raffle tickets Proposed by Dave Todd, seconded by Chase Newman, unanimously agreed. Please note - The balance sheet circulated on the night is to be amended to reflect Roger’s donation for the trophies. 7. Secretary’s report by Colin Southouse. Nothing submitted. 8. Fixture/Results Secretary’s report. In the absence of an elected fixture/results secretary Ric kindly provided a report. The season had gone well with no problems to report. Thanks to Jan Bithell for her help in Ric’s absence. Huw gave his thanks to Ric for all his help. 9. Competition Secretary’s report by Liz Lancaster. The numbers entering some of the competitions this year have increased - 15 for the Men’s singles (last year 11), 10 pairs for the Open Doubles (last year 8 pairs), 6 for the Ladies’ Singles (last year 5), the only decrease was for the mixed doubles 6 pairs (last year 7) and the Sprackling Cup where for obvious reasons there were 6. The administration for the competitions seems to have run smoothly, albeit with some `repeat offenders’ playing their matches late. It’s appreciated people have other commitments and for that reason players are notified of their matches as quickly as possible. Comments and feedback are always welcome if it is thought the dissemination of information can be improved. Thanks to Derek Taylor and Graham Sparksman for their time on finals night to ensure the tables arrived and were set up correctly, the Hassocks Hotel for the use of their function room, and to the players and committee members for their help and whose assistance ensured the evening ran smoothly, and for everyone’s generosity in buying raffle tickets both on the evening and before. Thanks to Ric Bithell, who although no longer a committee member, continues to support the League by providing `website’ and `admin’ assistance. 10. Interleague Captain’s report by Chase Newman. A good season resulting in Lewes winning the 3rd division. Thanks were given to all players. The Plough will remain the home table for the next season. 11. Election of Committee Members. • Chairman – Chase Newman • Secretary – Colin Southouse • Treasurer – Roger Munn • Competition Secretary – Liz Lancaster • Interleague Captain – Chase Newman • Committee – Huw Lincoln, Kev Stoner, Kev Hutchison Dave Todd proposed these be elected `on bloc’, seconded by Ric Bithell, unanimously agreed. 12. Any Other Business. Ric has received an email from Peter Hartley, who having moved to Seaford, expressed an interest in playing for a local team. As this email was received at the end of the season Ric will contact Peter to confirm he is still interested. It would seem the obvious choice of team would either be the Glynde Club or The Blacksmiths, however it was noted the Glynde Club would only be able to accommodate him as a reserve. It has been speculated the Blacksmiths may be fielding a second team if this is the case perhaps they would be interested in an additional player. This matter will be ongoing depending the response to Ric’s email. 13. Meeting closed at 9.25.

Season 2017 - 2018 Registration.
The 2017 - 2018 Lewes league registration night is to be held on Monday 4th September at 20:00 taking place at The Plough.
The registration fee for the season remains unchanged at £35.00 per team, cheques to be made payable to Lewes and District Bar Billiards League. Registration forms, if not already received, are available from Colin Southouse, Chase Newman and Liz Lancaster.
Teams for the season must be registered by Monday 4th September and all details submitted by this date.
Following on from registration a committee meeting will be held, to which all are invited.

The AGM is to be held on Monday 10th July at the Glynde Club at 8:00PM.
Please can two representatives from each team try to attend to ensure the numbers are reached for a quorum. This will hopefully then enable the committee to amend the constitution and make rule changes that have been in abeyance for a couple of years.

Playing Conditions / Rules of Play In paragraph 1; replace The latest rules should be obtained from the All England website: www.aebba.org.uk. by A copy of the latest AEBBA rules will be maintained on the LDBBA website. In paragraph 2; delete or the result card is not signed by both Captains
35 MATCH RULES In paragraph viii; replace (two occurrences) League Secretary by Results Secretary Insert new paragraph xiv Players are expected to conduct themselves in a gentlemanly manner at all times. Discourteous/disruptive behaviour reported to the Committee may result in the outcome of the game been overturned.
36 Additional Rules for Competitions Replace paragraphs i, ii; (renumbering only) by i Individual competitions will be the best of three games, the player who wins the toss has the choice of breaking first or second, in the event of the third game, both the players will have the break, the balls being respotted after the first break. Players will toss again for choice of break. In the event of the games still being level, a fourth game will have to be played in the same manner as the third. ii In a doubles match, only one player from each pair shall have the break in each game; players who take the break in the first or second game shall NOT take the break in the third game. This does not affect the Mixed Doubles; in this competition, the lady player must take the first turn for their pair in every game.
iii In team competitions the Captains shall toss a coin; winners shall have the break in the second and fourth games and the losers in the first and third games. In the fifth game both players will have the break, and will toss a coin for choice of break. In the event of a draw, the Captains will have nominated a player before the match starts who will play a sixth game; rules as for the fifth game.
iv All competition games will be played on neutral tables as nominated by the Committee.
v No player, having played in any team competition, will be allowed to play for another team in the same competition.
vi Players may only play in a competition under the name of the team for which they are registered.
vii In any doubles competition, should there be only one player available, the match can still proceed. However, the single player will only have one shot to his/her opponents two.
Renumber paragraph iii as viii; Replace paragraph iv; iv once a player has received a fixture list for any individual or team competition, the first named player or team shall be responsible for making contact with his/her opponent with 7 days from the receipt of the draw. If no contact is made for whatever reason, both players or teams will contact the League Secretary for an agreement to be made. All players who fail to play their matches or submit their result cards to the League Secretary by the closing dates specified will be automatically disqualified from the competition. by ix On receiving notification of individual or team competitions entrants are responsible for arranging matches promptly. Both parties are equally responsible; not just the first named. In case of difficulty contacting the opponent, entrants should first contact the appropriate coordinator. If no satisfactory contact has been made the competitions secretary will be notified immediately, and in any event within two weeks of the published draw date, for an agreement to be reached.
x All players who fail to play their matches or submit their result to the Competitions Secretary by the closing dates specified will be automatically disqualified from the competition.
xi All results to be submitted to the Competitions Secretary by email, phone or text.
37 Sprackling Cup In paragraph 1; replace secretary by Competitions Secretary
38 Captains Cup Replace entire rule The Captains’ Cup shall be played during the season on a date and at a venue decided by the committee. Games shall be played on a knockout basis i.e. quarter final, semi final and final, comprising one game per match, even break. Equal opportunity (as per rule 36iii) will apply. Should the players be equal on the completion of the game, the golden 200 shall apply, the players should toss for who goes first then both players will take it in turn to pot either the red or white ball in the 200 hole and this will continue till one player succeeds, and the other misses, both having had the same number of attempts. In this case the red will count the same as the white ball.
The cup will be presented on finals night. . by i The Captains’ Cup shall be played during the season on a date and at a venue decided by the committee.
ii This will be a knockout competition between all team captains, as registered at the start of the season.
iii The format of the competition shall be determined by the committee and published in advance of the competition.
