The AEBBA AGM will be held on Sunday 4th December 2022 @ Totteridge Community Centre @ 2.30 pm This will follow the pre AGM Xmas meal @ 1pm
Any rule proposals/amendments must be sent to me by 13th November
I will need numbers for the meal and the AGM to let the club know.
Please let me know if you will be attending both/either. I am finalising the details of the meal and once I have these I will get menu choices from people. It is looking likely to be similar menu and price as last year
We have 10 Counties affiliated this year so I need to know at least 5 will be represented at the AGM as we need 50% as per the rules.
Have added the details for the lunch. Please let me know asap if you will be attending (no lunch) or attending (with lunch). If you having lunch please send me your choices by 25th November
The lunch will be £15 per head Can you please send me your choices either by pm or e-mail by 30th November

Can i just ask what the rules state if there are not 50% of the counties present and what the next steps would be ?

This is the rule
12)A quorum for Annual General Meetings shall be representation by at least 50% of the Affiliated Counties.
Unfortunately there’s nothing in the rules that say anything about what happens if there is not 50% there. I assume the AGM can’t be held.
Last year it was pointed out to me that we only just made the 50%.
There are more (10) Counties affiliated this year so we need at least 5 Counties to attend. I am assuming at the moment that there will definitely be 4 (Sussex, Kent, Oxford, Bucks) Hopefully at least one of the other 6 Counties will say they will be there.
I’m hoping that people will turn up to discuss at the AGM ideas etc they have about future competitions etc. People tend to use this board to have their say but the AGM is the correct place to put forward their ideas.
I will look into what happens if it can’t go ahead as never happened before so to be honest at the moment I don’t know

Just checked and this is what happens
If the persons attending a general meeting within half an hour of the time at which the meeting was due to start do not constitute a quorum, or if during a meeting a quorum ceases to be present, the chairman of the meeting must adjourn it.

Wonder why 'Counties' still constitute a quorum when votes are cast by 'league associations'?
To be quorate any association meeting should have sufficient 'voters' present to make a decision.
I had spotted that last year's A.G.M. was not quorate (only four of nine affiliated counties present) but as there was nothing Earth shattering on the agenda, asking for a second meeting would have been pointless.
Normally if a meeting is not quorate only items that do not require a vote can be administered, such as adjourning.

As it is all that is required, I submitted a proposal that voting should go back to be being by county. This has yet to be seconded as far as I have heard but the proposal is in as required.
Decision on the AEBBA AGM being quorate is not by the number of voters present which is how it should be.
AEBBA cannot possibly know which leagues (not counties) have physically paid an affiliation fee to their counties as is required to vote. How many single leagues even have a county association? Even a defunct league voted last year and had they paid as is required?
Far simpler, the old system of votes by counties that are affiliated to AEBBA.
Seconder?
There should also be an early item on the agenda to ratify decisions made at last year's AGM which was not quorate.

Documents for AGM Please read 2021 minutes as I won't be printing off loads of copies. The accounts will be added asap. Apparently there is some football match going on Sunday evening so am hoping to start the AGM as soon as the meal is finished. It will be 2 pm at the earliest and will not start until the people who have told me are they attending are there.
Hopefully this will help those that are travelling
